Tenants or Prospective Tenants
Here you will be able to find our application for tenancy, get answers to frequently asked questions about the move in process and of course view available properties for rent. If you are a current tenant you can also submit a maintenance and report any other problems that you may be having.

Yes we do charge a $30.00 fee to apply for a unit. It covers a processing fee and background check to determine suitability for our units. The fee is a one-time fee as long as you never leave one of our properties. If you do leave one our properties and return later then a new application fee will be levied and collected.
At this point you must have paid your deposit in full and are ready to move in. Prior to your move in date you need to have transferred all applicable Duke Energy accounts over into the leasee’s name as well as any applicable water company accounts. Our staff will confirm this prior to your move in, if you have not done this yet then you will be able to move in.
Secondly upon move in day you will be required to pay all rent monies owed at that time.
I am a current resident of CAP and I have a friend that I’d like to refer to you. Do you offer any incentive programs?
Yes at CAP we encourage our existing tenants to refer their friends and family. If you are a current resident and you make a referral that we do indeed rent to you will receive $100.00 cash or gift card referral after that person pays their 4th consecutive on time rental payment.
At CAP we monitor the water bills closely. If you fail to make a payment then you will be subject to eviction proceedings if you do not take the appropriate steps to put yourself on payment plan with the water district and keep to it. If you constantly fall behind in water payments you will be subject to a termination of your lease agreement.
All rents are due on the 1st of the month and are considered late on the 5th. If you make your payment by mail then it must be post-marked by the 5th or it will be considered late. If your payment is late then a $50.00 late fee will be assessed.

At CAP we do have items that are billable to the tenant. The following are some of the types of charges you may incur:
If you lock yourself out or need your locks or keys changed then a fee of $79.95
If you live in a single family home and do not have the ability to cut your own grass, then CAP will cut your grass for you two times per month for $25.00 per cut.
If we determine that a problem occurred due to tenant neglect (i.e. stopped up drain because you poured something in it or a whole put in the wall) then you will be billed for these damages at an hourly rate of $40.00 per hour + the cost of the materials.
I’ve lived at my home with CAP for one year now and I want to renew my lease. Are there any incentive programs for me?
If you have lived in one of our CAP managed homes for year and have paid on time every month and have not had any tenant neglect maintenance issues, then upon signing a new lease you will be eligible to receive a $25.00 grocery gift card.

Our goal is to start processing statements on the 25th of the month and have them prepared to go out to the owners by the 29th – 30th. If you sign up for our direct deposit we will then email you a statement and direct deposit your funds; however, if you chose not to participate in direct deposit then you statement will be mailed to you via regular US Postal mail at this time.
We will always try to notify you of any repairs that we do prior to coming on your statement; however, our threshold per our contact is $250.00 or above is what requires prior owner approval.

You need to call Greater Cincinnati Water Works at 513-591-7700 and make sure that the tenant that is occupying the property gets placed on the bill immediately. You as the owner needs to make this call as Cincinnati Water Works will not allow me the property manager to do it for you.
What paperwork do you need from me when I become a new client, or if I’m an existing client and I add additional properties?
I will need the following:
I just rented a house on Cincinnati Metropolitan Housing (section 8) is there anything I need to know?
You need to know that your first rental payment may not arrive 90 to 120 days from the date that the completion of the necessary paperwork and passed inspections. There are cases that it may come in faster; however, on the other side there are cases it may take longer. Your first payment will be a lump sum from the approved moved in date and you will receive regular schedule payments thereafter.
CAP only charges you on gross rents collected. So if we don’t collect for 90 days then we don’t charge you the monthly percentage until it comes in. Once the lump sum does arrive then CAP will charge the full percentage of the monies received.
If maintenance billings do occur when we are in the waiting period for section 8 rents to come in then you will be billed for them. Ideally we would hopefully have rents coming from another property to cover the expense, but in the event that is not the case you will be sent an invoice with a due date of payment.
It is important to know that in Cincinnati the registered owner of the property is ultimately responsible for the water bill. As a courtesy they will send a copy of the bill to the tenant (only if they are notified to do so, reference question #5) but if they do not pay you will be the one that has to. We (your property manager) will not receive a copy of the bill so it is on you to notify us if there is a late bill so that we can take action. If the bill is large and unpaid we will go over collection recommendations and even more towards eviction proceedings if necessary.
At CAP we handle the eviction process and send you the bill from the attorney. If you have only one property with us we will require a payment upfront to start proceedings; however, if you have other units we will front the cost and put it on your owner’s statement and invoice you the cost. Typical cost for an eviction is approximately 450-500 dollars and takes about 30 days.
